Board Meeting, July 19, 2011

Opening

President Susan Brand called the quarterly board meeting of the El Cerrito Tennis Club to order at 6:30 p.m. on July 19, 2011, at 6154 Bernhard Avenue, Richmond.

Present: Susan Brand, Ellen De Neef, Bob Nowacki, Lori Staley, Darrell Staley, Jan Wilkins, Charlotte Moon, Margo Takemiya

Absent: Louise Vogelberg, Jan Bridges

April Tanalski has decided to leave the ECTC board.

A. Approval of Minutes

A motion was made and seconded to approve the minutes of the April 19, 2011, board meeting as uploaded on the web.

B. Treasurer's Report

Jan Wilkins' report contained current expenditures and income. The report was accepted as presented.

C. Old Business

  1. Permit Status: Ellen reported that there was good compliance with all the teams playing in the adult season. She has not checked recently and will report next board meeting on permit status for the combo and super senior seasons.
  2. Update on USTA Teams: There are five teams:
    • Combo men CM7.5, captain Henryk Kramek
    • Combo women CW 7.5, captain Liz Zapalac
    • Senior 65 men 3.5, captain Herbert Cattanach
    • Senior 65 women 3.5, captain Eileen Mc David
    • Super senior S70W7.0, captain Jan Straus
  3. Recap of July BBQ and Round Robin: The Round Robin and BBQ were a success. About 40 people attended. There were a lot of new faces, and one new member joined. The food was fabulous. Many thanks to Dave Liu who was in charge of the BBQ and spent the day with us on his 46th wedding anniversary! Bob took great pictures and short videos! The picnic area was double booked; however, Susan provided the family with an extra table from the storage room, and they were happy with the alternative solution.
  4. Membership Drive 2011:
    • Survey: Charlotte reported that she received 35 responses. It was agreed that the survey should be sent out one more time.
    • Thursday Evening Round Robin: This has been a very successful event. About 8-12 people show up every week, and a lot of new people attend as well. One new member joined the club because of this event. It was decided to continue this event indefinitely. Ellen has made court reservations through the month of October. Next board meeting it will be decided if more court reservations need to be made. Thanks to Charlotte and Jan Wilkins for arranging the snack and drinks for this event. From now on, Charlotte will make a sign-up sheet, and a rotation system among the participants will be implemented to bring snacks.
  5. QuickStart Program:
    • Margo applied for a grant from the USTA to assist in the building of a QuickStart court at Cerrito Vista. Grant money ($10,000 to $15,000) is available from the USTA to give financial support to schools and programs that promote tennis. The estimate for building the QuickStart court and hitting wall is about $30,000. Margo requested some assistance from the board to finish the grant proposal. Another estimate on the cost of the project, pictures of the site, drawing of plans are needed. Susan offered to help with taking pictures of the site and drawings. This grant application is separate from the money that will be donated by the ECTC Improvement Association. See the meeting notes of the 1/25/11 board meeting, New Business #4.
    • Installing QuickStart court permanent lines. $500 will be reimbursed by the USTA for painting permanent lines on one court. An estimate was submitted by First Serve for $600. This is the same company that resurfaced the courts at Cerrito Vista. The decision on which courtwill be painted will be based on which courts are scheduled next for resurfacing.
    • QuickStart Season. Thirty-four children participated in the program this year. It was great success. The program had five fewer instructors this year. Liam Burmeister, the high school student hired to help coach the kids, is interested in returning next season. Outreach for the program will begin in January next year to allow more time to attract more children and to coordinate and train instructors. The EC Community Center has a QuickStart net and child-sized rackets available for rent.
  6. Report on Meeting with Monica: Monica is retired, and Chris Jones is now head of the recreation department.
  7. The nets were repaired, the benches at the CV courts were bolted down, and the lights work.
  8. The 2011 Directory was done with a category for cell phone numbers.
  9. Setting Up a Web Forum: This topic was tabled to next meeting for further discussion.
  10. Listing and Promoting EC Tennis Teachers: This topic was tabled to the next meeting due to lack of new information.

D. New Business

  1. Membership Status: Darrell reported that ECTC currently has 138 members.
  2. September Mixed Doubles Tournament: The date will be on Sunday September 18, 2011. A flyer will be send to the membership. Deadline for application is 9/11/2011. Susan will reserve courts from 8:30 a.m. to 1:00 p.m. Jan W. will provide breakfast at the courts and deliver the balls. Ellen will take care of the food at the BBQ. Darrell will ask Dave Liu to be in charge of the BBQ during the event. Susan and Margo will figure out the teams and logistics of the tournament.
  3. Online Auction for US Open Tickets: Cherryl Silva at USTA donated 2 tickets for the Presidents Box at the US Open for the first week, 8/31/2011. As of the meeting, there is one bid at $100.
  4. Items for Meeting with Chris Jones: Check status of next court for resurfacing.
  5. Next Meeting: The next board meeting is scheduled for Tuesday, October 25, 2011, 6:30 p.m., at the home of Susan Brand, 6154 Bernhard Ave., Richmond 94805.
